Getting going
How long does it take to set up?
We can usually have you live the same day. We do the setting up — your floors, your team, their logins. You do not fill in a form or import anything. The call takes about twenty minutes and you can start logging enquiries straight after it.
Do my staff need training?
No. An executive learns it in about two minutes because there are only three things to do: log an enquiry, confirm it, or cancel it with a reason. Everything else is reading.
What if my team is not good with technology?
It is built for exactly that. It works on any phone, it installs like an app from the browser, and the whole enquiry screen is six boxes. If someone can send a WhatsApp message, they can use this.
Do I need to buy anything else? A tablet, a server?
Nothing. No hardware, no installation, no annual maintenance visit. It runs on the phones your team already carry.
How it actually works
How does it stop a double booking?
The database itself refuses to hold two confirmed bookings for the same space, on the same date, for the same sitting. It is not a warning message someone can click past when they are busy — the save simply does not happen, and the executive is told which booking is in the way and who took it.
What about a full-day function?
A full day blocks both lunch and dinner, so nobody can sell you a lunch on a day you have already given away entirely. That case is tested specifically, because it is the one most systems get wrong.
Can two families enquire about the same Saturday?
Yes, and they should be able to — that is normal business. Any number of enquiries can sit on a free date. It is only confirming that is exclusive, and the moment one is confirmed the others cannot be.
Why does the system make my staff give a reason to cancel?
Because after thirty days you can see that a third of your losses were the same objection, and fix it once. A cancellation with no reason teaches you nothing, so the system will not accept one.
Can I see it from abroad?
That is rather the point. It is a website and an app, not a machine in your office. Open it in Dubai, London or on a flight with wifi and you see the same numbers your team sees in the hall.
WOW leads
What is a WOW lead?
A family comes to us wanting a date we cannot place ourselves. On Pro and above, that enquiry lands on your calendar in purple — with the name, the number, the price we quoted them and exactly what we promised. You call them. You close it. You keep the booking.
Do I pay for leads that go nowhere?
No. Nothing upfront, nothing per lead. We take a commission only on a booking that actually closes, and it is cancelled if the booking is.
The same lead goes to other venues?
Yes, and we say so plainly. First venue to confirm keeps it, and the moment you confirm it disappears from everyone else. That is why speed is worth something, and why the lead arrives with the family's number rather than a form to fill in.
Can I refuse a lead?
Just ignore it. Nothing is added to your calendar as a booking until one of your own people confirms it.
What you can see, and what we can
Can WOW staff see my bookings?
No. Our team can see exactly two things: that a space exists, and that a date and sitting is taken. Not your guests, not their phone numbers, not your prices, not your enquiries, not your revenue. That restriction is written into the database functions themselves — it is not a setting we could switch off, and it is not a policy we could quietly change.
Can another venue see my calendar?
Never. Every venue is walled off from every other at the database level. A venue cannot read another venue's row even by accident.
Can my executives see each other's bookings?
Yes, and that is deliberate — the shared calendar is the whole product. An executive must see that Saturday dinner has gone before he quotes it. What each of them earns is only shown to you.
Money
What does it cost?
It is quoted per month, and a longer term costs less per month. Starter is £149 a month, or £119 a month if you take the year. Pro is £229 and Max is £379. Per property, with no charge per user. Compare them line by line.
Why is it monthly and not just yearly?
Because a year up front is a big ask for a venue that has never used us. Take it monthly, see it work through one season, and move to the annual rate when you are ready — it is 20% cheaper per month and one less thing for either of us to chase.
How do I pay?
Pay by bank transfer or card. We invoice you; there is no card on file and nothing charges itself.
Does the price go up next year?
Not for you. The rate you sign at is the rate you renew at, for as long as you stay with us. If our list price rises later, that is for new venues, not for you.
Can I move up or down a tier?
Up whenever you like — we charge only the difference for the months remaining. Down at the end of your term. And if a longer term is not right for you yet, take it monthly and move to the annual rate later.
Your data
Whose data is it?
Yours. Your bookings, your guests, your numbers. We store and process them so the product works, and that is all.
Where is it kept?
On managed servers in London, encrypted in transit and at rest, backed up daily. UK venues' data therefore stays in the UK.
What happens if I leave?
You ask, and we send you everything — bookings, guests, payments, history — as spreadsheets you can open anywhere. Then we delete it. Nothing is held hostage, and there is no export fee.
Do you sell my data?
No. Not to anyone, in any form, including anonymised or aggregated. Our business is the subscription and the commission, and a company that sold your guest list would deserve to lose you.
