Short, and in words you can hold us to.
A note while we are launching
These terms are under review by legal counsel in India and the UK. The commercial promises below — the price you signed at, commission only on what closes, your data back on request — are ours regardless of how the wording is tidied.
Who this is between
WOW Systems, operated by Akomic Design Studio, and the venue whose account we set up. “You” is the venue. “We” is us.
What we provide
Access to WOW Systems for one property, for the tier you signed up to, for the term you chose — one, three, six, nine or twelve months — from the day we switch you on. We set it up for you: your spaces, your staff logins, your calendar.
We keep it running, fix faults, and improve it. We may add features and change how screens look. We will not remove something you rely on without telling you first.
What you agree to
- ·Give your staff their own logins rather than sharing one. The record of who did what is only worth having if it is true.
- ·Keep your guests' details accurate, and only put in what you are entitled to hold.
- ·Not resell access, or open the account to a venue that is not yours.
- ·Tell us promptly if a login should be switched off — someone leaving is the moment that matters.
Money
The price is per property, per month, paid up front for the term you chose. Pay by bank transfer or card.
The price you sign at is the price you renew at. If our list price rises, yours does not. We will remind you before each renewal, and you can move up a tier at any time — we charge only the difference for the months remaining.
If an invoice goes unpaid for thirty days after we have reminded you, we may suspend the account. Suspension does not delete anything: your data waits, and paying restores it immediately.
Commission on WOW leads
On Pro and above, we send you enquiries we have found ourselves. If one of them becomes a confirmed booking, we charge the commission agreed when you signed — a percentage of the booking value, recorded against that booking so you can always see exactly which one it came from.
- ·Nothing is charged for a lead that does not close.
- ·If a booking is cancelled, the commission is cancelled with it.
- ·Commission applies only to bookings that came from a WOW lead. Never to your own walk-ins, and never to your repeat clients.
- ·The same lead may go to more than one venue. Whoever confirms first keeps it.
Your data
It stays yours. We hold and process it so the product works, and for nothing else. Ask and we send you all of it as spreadsheets, at any time, at no charge. The detail is in the privacy page.
Our own staff can see which of your dates are taken, and nothing else. That is a technical guarantee, not a policy — described in full on the privacy page.
What we do not promise
We aim for the system to be available at all times and we will tell you when it is not, but no online service is perfect and we do not promise it will never be down. If it is down for more than a day in any month, tell us and we will credit that month.
The system stops your team double-booking a space. It cannot stop a booking taken in a paper register, over WhatsApp, or in a second system running alongside it. If a date lives outside WOW Systems, WOW Systems cannot protect it.
We are not liable for lost business, lost profit, or a decision you took based on a number on a screen. Where liability cannot be excluded, it is limited to what you paid us in the previous twelve months.
Ending it
You can leave at the end of your year by telling us before it renews. We will send you everything, then delete it. There is no exit fee and nothing is held back.
We may end it if an invoice stays unpaid, or if the account is used for something unlawful. We will always tell you first and always give you your data.
Which law
For clients in the United Kingdom, the law of England and Wales, and its courts. Before anyone reaches a court, we would much rather you rang us.
